Legrand CRM Team Based Access (17/11/09)
Legrand CRM earlier this year released a powerful data access feature set called team based access. This is an optional addition to Legrand CRM.
The details below explain the functionlaity offered and a link to an online demonstration is also provided. For more information please feel free to contact us.
Introduction
The Team Based Data Access (TBDA) module is available as an option for Legrand CRM CORP Edition v5. The TBDA module provides a filtering system that limits visibility of records to each User in Legrand CRM CORP Edition.
What is Team Based Data Access?
Team Based Data Access is a mechanism in Legrand CRM CORP Edition that groups records into a hierarchical Team structure and provides access to those records depending on whether the User is a member of the same Team or a member of a higher level Team.
In essence, Team Based Data Access controls the data each User can “see” in the database.
The Team Based Data Access module provides the following features:
1. Each User is assigned to a Team
2. Each Company is assigned to a Team or a Public Team
3. Each Contact inherits the Company’s Team
4. Every record linked to that Contact inherits the Contact’s Team (ie Activity Notes, Tasks, Calendar, Opportunities, Customer Service and Item Tracking)
5. If a Contact is standalone, then it has its Team assigned manually
6. Each Campaign is assigned to a Team
The effects of the Team Based Data Access module can be summarized in the following way. A User assigned to a Team :
1. can only “see” records for Companies assigned to the same Team or down-stream Teams
2. can only see records in up-stream Public Teams and down-stream Public Teams
3. can only see other down-stream Users’ Tasks
4. can only see other down-stream Users’ Calendar Events
5. will be warned if an attempt is made to set an overlapping Calendar Event with an up-stream User
Difference between Permissions and Team Based Data Access
Team Based Data Access controls what the User can “see” in the database whereas Permissions control what the User can “do” in the database.
